Central Florida wedding stories

Four real weddings, told from the couples’ own reviews. See what the months before, the day itself and the moments behind the scenes really look like with Karin by your side.

We’ve left out the couples’ names. Every detail and every quote comes from what they wrote.

Bella Cosa, Lake Wales

The windows were washed twice

Day-of coordination

  1. From the day they booked

Many coordinators step in a month or a week before the wedding. Karin started straight away, with vendor suggestions, décor ideas and a detailed wedding-day timeline.

  2. A month out

She came to the venue walkthrough, guided the couple through their rehearsal, and collected every vendor contract ahead of time.

  3. The week before

That’s the week “when every vendor suddenly wants something from the bride.” Karin took those calls. In the bride’s words: “She shielded me from so much stress.”

  4. The day

Karin arrived with her son Adam, who unpacked and set up the décor. She checked that no groomsman had anything in his pockets before the walk down the aisle, kept the DJ on schedule, and made sure the couple had food and drinks all night. When a guest spilled something on her dress, Karin helped. When the bow on the bride’s dress kept falling off, Karin fixed it “every single time.” She stayed to the very end for the sparkler exit.

  5. The day after

Some of the alcohol the couple had bought didn’t come back from the caterer. Karin emailed the catering company for them to make sure they were reimbursed. “She did not have to do that as the wedding was over.”

Behind the scenes

Karin made sure every vendor honored their contract, and had the venue wash its windows before the ceremony. Twice.

What the bride saw

“She kept me informed of any changes without overwhelming me.”

Our guests loved her, our vendors respected her, and we would not have had the same experience without her.

A wedding where the venue required a coordinator

No plates, no sternos, and she never knew

Day-of coordination

  1. Before they met

The venue required a day-of coordinator. The bride “honestly thought it was going to be a waste.”

  2. The first conversation

Karin’s energy matched hers and “instantly put me at ease.” From then on it was “no pressure, no pushing ‘tradition,’” just full support for the wedding she wanted, exactly how she wanted it.

  3. The day

The caterer “completely dropped the ball—no plates, no sternos, nothing.” Karin managed it all, without letting it touch the bride or her day.

  4. After the wedding

Only then did the bride find out anything had gone wrong.

Behind the scenes

The caterer arrived with no plates, no sternos, nothing. Karin handled it.

What the bride saw

“I had no idea anything went wrong until after the wedding.”

She’s the kind of person you don’t realize you need until you have her—and then you can’t imagine doing it without her.

An outdoor wedding, with the ceremony and reception in two places

25 mph winds and two locations

Day-of coordination

  1. The planning

Karin was “an excellent communicator throughout the entire process and always quick to text back” whenever the bride had a question.

  2. The day

The wedding was outdoors, and the wind was blowing at 25 mph. The ceremony and the reception were in two different places. Karin and her assistant ran both “with ease.”

Behind the scenes

Strong winds at an outdoor wedding, and two locations to run at once. Karin and her assistant handled everything.

What the couple saw

“Everything ran smoothly and we never had to worry about what was happening behind the scenes.”

Because of her we were able to relax and truly enjoy our day.

An Orlando wedding, planned by a family who live outside Florida

Planning from out of state

Wedding planning

  1. Before Karin

The bride’s mother was planning her daughter’s wedding in Orlando from out of state. It was “quite overwhelming, and extremely time consuming reading reviews, making lists and hoping for the best.”

  2. Hiring a planner

Then the family looked into a wedding planner. Hiring Hearts and Souls was, in her words, “the best decision we made.”

  3. The planning

Karin’s industry experience, contacts and advice “made the overwhelming easy.” She was there every step of the way, every time the family needed her.

  4. The day

“My daughter’s wedding was perfect and magical and stress-free!!”

Behind the scenes

Karin took care of everything, using her industry experience and contacts.

What the family saw

“Just pure excitement and happiness.”
