Privacy Policy
What we collect, why we collect it, and what you can ask us to do with it, in plain English.
Last updated: October 11, 2026
Hearts and Souls Event Management LLC (“Hearts & Souls”, “we”, “us”) plans and officiates weddings and events in Florida. This policy explains what information we collect, why we collect it, and what you can ask us to do with it. It covers this website and any other contact you have with us, such as calls, texts, emails, consultations and events.
In short:
- We collect what you choose to send us.
- We use it to reply to you and to plan your day.
- We don’t sell it.
- With your permission, we use Google Analytics to see how the site is used. You can say no, and the site works the same either way.
1. What we collect
Information you give us. When you send an inquiry, call, text or message us, or book our services, we collect what you share. That can include:
- names
- email address
- phone number
- your wedding or event date
- the service you’re interested in
- your venue
- any details you choose to tell us about your plans
Information collected automatically.
- Our web host. When you visit the site, our web host (Netlify) automatically records basic technical details: your IP address, browser and device type, the pages you visit, and the time of your visit. It uses these to run the site and protect it from abuse. They don’t identify you by name.
- Google Analytics. If you accept analytics cookies, Google Analytics also records how you use the site: pages viewed, time on the site, how you found us (for example, a search or The Knot), your approximate location (city or region), and your device type. See section 4.
Sensitive information. We don’t ask for or process sensitive personal information, such as health or financial account details, through this website.
2. How we use it
We use your information to:
- reply to your inquiry and give you a quote
- plan, coordinate and officiate the services you book
- ask for feedback after your event
- understand which pages couples find helpful, so we can improve the site
- keep the website secure and working
- meet our legal obligations, for example tax and accounting records
3. Who we share it with
We don’t sell your personal information or share it for anyone else’s marketing. We share it only:
- With service providers who help us run the business. Netlify hosts this website and receives inquiry forms. Proton Mail handles our email. Google provides our website analytics (see section 4).
- With vendors you’ve asked us to coordinate. If you book with us, we may share details like your date, venue and timeline with your venue, photographer and other vendors, so we can deliver your day.
- If the law requires it, or to protect our legal rights.
- If the business is sold or merged, in which case your information would move to the new owner under this same policy.
Photos and social media. We only post photos of you, or your names, on our website or social media if you’ve given permission in your service agreement.
Fonts. This website loads its lettering from Google Fonts, so your browser shares your IP address with Google when a page loads.
Links to other sites. We link to The Knot, WeddingWire, Facebook, Instagram and WhatsApp. Those services have their own privacy policies.
4. Cookies and Google Analytics
We ask first. When you first visit, a small banner asks whether you accept analytics cookies. Until you click Accept, Google Analytics sets no cookies. If you click Decline, it sends Google only basic, cookie-free signals that don’t identify you or your device. You can change your choice at any time with the Cookie settings link at the bottom of every page.
What Google Analytics does. If you accept, Google Analytics 4 places cookies on your device to count visits and see how the site is used. Google gives us reports of overall trends. It doesn’t give us your name or contact details, and Google Analytics doesn’t log or store your IP address.
How long Google keeps it. We’ve set Google Analytics to keep this data for 14 months.
Advertising. We don’t use Google Analytics’ advertising features, such as remarketing or demographic reports, and we don’t share analytics data with Google for its advertising.
Opting out everywhere. To stop Google Analytics on every website, you can install Google’s opt-out browser add-on: https://tools.google.com/dlpage/gaoptout. To learn how Google uses this information, see https://policies.google.com/technologies/partner-sites.
Do Not Track. Your browser may send a “Do Not Track” signal. There’s no agreed standard for these signals, so we don’t respond to them. Use the cookie banner or Google’s opt-out instead.
5. How long we keep it
We keep your information only as long as we need it:
- If you don’t book, we delete your inquiry 12 months after we last heard from you.
- If you book, we keep your booking records as long as the law requires, for example for tax and accounting.
- Backups. If something can’t be deleted straight away (for example, it’s in a backup), we keep it secure and stop using it until it can be removed.
6. How we keep it safe
We use reasonable technical and organisational measures to protect your information. Our email provider encrypts stored mail, and the website only accepts secure (HTTPS) connections. No system is completely secure, so we can’t guarantee that your information will never be accessed without permission.
7. Your choices and rights
You can ask us to:
- see the personal information we hold about you
- correct anything that’s wrong
- delete your information, unless we have to keep it by law
- withdraw your consent to anything you previously agreed to, including analytics cookies (use Cookie settings at the bottom of any page)
Marketing messages. We don’t currently send marketing emails or texts. If we start, we’ll only send them to people who agree to receive them, and every message will include a way to opt out (an “unsubscribe” link, or replying STOP to a text). You’ll still get the messages you need about a booking.
We’ll reply to every request within 30 days. You won’t be treated differently for making a request.
8. Children
Our services are for adults. We don’t knowingly collect information from anyone under 18. If you think a child has sent us information, contact us and we’ll delete it.
9. Changes to this policy
If we change this policy, we’ll update this page and the “Last updated” date. If a change is significant, we’ll make it clear on the site.
